The APEDA export certificate is a mandatory document for exporting scheduled agricultural products from India — including rice, spices, vegetables, fruits, and groundnuts. Buyers want to see it. Customs won't clear your shipment without it. Banks need it for payment under LC.

This guide explains how to apply for an APEDA export certificate online, what documents you need, how long it takes, and how to download and use the certificate for shipment.

APEDA certificates are product-specific and shipment-specific. Each consignment requires a separate certificate. You cannot reuse a certificate for multiple shipments.

What Is APEDA Export Certificate

APEDA (Agricultural and Processed Food Products Export Development Authority) issues an export certificate to verify that agricultural products meet India's export standards and comply with the Phytosanitary regulations of the destination country.

The certificate confirms: product identity, quantity, quality standards, packaging compliance, pest-free status, and exporter's APEDA registration. It is different from the APEDA RCMC (Registration-cum-Membership Certificate) — the RCMC is your one-time registration, the export certificate is issued per shipment.

How to Apply for APEDA Export Certificate Online

Follow these steps to apply:

Step 2: Select Product Category

Navigate to "Export Certificate" section. Select the product category (Rice, Spices, Fresh Vegetables, etc.) and the specific product you are exporting. Choose the destination country — this determines which phytosanitary requirements apply.

Review all details, confirm they match your actual shipment, and click "Submit". You will receive an acknowledgment number via email and SMS.

Step 7: Inspection (If Required)

For certain products or destination countries, APEDA may schedule a physical inspection at your warehouse or processing unit. An APEDA inspector verifies packaging, labeling, pest-free status, and product quality against declared specifications. This typically happens within 2-3 working days of application.

Step 8: Certificate Issuance

Once approved, APEDA issues the export certificate digitally. You receive an email notification with the certificate number. Log in to the portal, navigate to "My Certificates", and download the PDF.

APEDA Certificate vs Phytosanitary Certificate

Many exporters confuse these two:

Issued ByAPEDANPPO (Plant Quarantine, Dept of Agriculture)
PurposeExport compliance, quality verificationPest-free certification
When RequiredFor all scheduled agricultural productsWhen destination country mandates (EU, USA, UAE)
Fee₹500 - ₹3,000 depending on product₹500 - ₹1,500
ProcessingOnline via APEDA portalVia NPPO regional offices

For rice export to most markets, you need both certificates — APEDA for India's export regulations and Phytosanitary for the destination country's import regulations.
