What Is APEDA Export Certificate
APEDA (Agricultural and Processed Food Products Export Development Authority) issues an export certificate to verify that agricultural products meet India's export standards and comply with the Phytosanitary regulations of the destination country.
The certificate confirms: product identity, quantity, quality standards, packaging compliance, pest-free status, and exporter's APEDA registration. It is different from the APEDA RCMC (Registration-cum-Membership Certificate) — the RCMC is your one-time registration, the export certificate is issued per shipment.

- IEC Code: Import Export Code from DGFT
- GST Registration: Active GSTIN

How to Apply for APEDA Export Certificate Online
Follow these steps to apply:
Step 1: Log In to APEDA Agriexchange Portal
Visit agriexchange.apeda.gov.in and log in with your registered credentials. If you don't have an account, click "New User Registration" and complete the form with your IEC, RCMC number, company details, and authorized signatory information.
Step 2: Select Product Category
Navigate to "Export Certificate" section. Select the product category (Rice, Spices, Fresh Vegetables, etc.) and the specific product you are exporting. Choose the destination country — this determines which phytosanitary requirements apply.
Step 3: Fill Shipment Details
Enter: export quantity (in MT or KG), packaging details, port of loading, estimated shipment date, and buyer's name and address. The system auto-generates a draft certificate number.
Step 4: Upload Required Documents
Upload scanned copies of:
- Commercial Invoice (signed)
- Packing List
- Lab Test Report (if product requires quality testing)
- Fumigation Certificate (if destination country requires it)
- Processing Plant Registration (for processed foods)
Step 5: Pay Certificate Fee
APEDA charges a certificate fee based on product and quantity. Typical fees:

Step 7: Inspection (If Required)
For certain products or destination countries, APEDA may schedule a physical inspection at your warehouse or processing unit. An APEDA inspector verifies packaging, labeling, pest-free status, and product quality against declared specifications. This typically happens within 2-3 working days of application.
Step 8: Certificate Issuance
Once approved, APEDA issues the export certificate digitally. You receive an email notification with the certificate number. Log in to the portal, navigate to "My Certificates", and download the PDF.

- Expired Lab Report: Test reports older than 30 days (for perishables) or 90 days (for non-perishables)
- Incomplete Documents: Missing packing list or fumigation certificate
- Packaging Non-Compliance: Bags or labels do not meet destination country standards
- Quality Failure: Lab test shows parameters outside permitted limits
How to Use APEDA Certificate
Once you download the certificate:
- At Customs: Submit original printout along with shipping bill for customs clearance at port of loading
- For LC Payment: Include in document set presented to bank (3 photocopies typically required)
- For Buyer: Send scanned copy to buyer as proof of compliance with import regulations
- At Destination: Original certificate travels with shipment and is presented to customs at destination port
Keep digital and physical copies of all APEDA certificates for at least 3 years. Customs or APEDA auditors may ask for past shipment records during compliance checks.
